Overview

PURPOSE

Reporting to the, the Front Desk Receptionist receives all Gwich’in Tribal Council (GTC) visitors, and performs a variety of general office administration tasks, including day-to-day general office administration support services to the Gwich’in Tribal Council as per operational requirements. The Receptionist is the first point of contact for GTC and provides general information on GTC programs and services as well as directs internal and external inquiries

RESPONSIBILITIES

  • Referring requests and concerns to appropriate personnel.
  • Providing routine information to Gwich’in beneficiaries and the general public; and
  • Taking and relaying messages.
  • Purchase supplies and materials and inventory management.
  • Ensures smooth operation of office equipment and machinery, arrange for maintenance and repair work.
  • Ensure main entrance is locked at noon hour and at the end of the day.
  • Collecting mail from the Post Office box on a daily basis.
  • Logging, sorting, and distributing mail.
  • Ensuring that there are adequate office supplies on hand for day-to-day use, this includes issuing and keeping track of all purchases.
  • Clerical duties as required such as typing notes and letters, addressing labels and envelopes, etc.
  • Hosting GTC leadership and staff from other office locations
  • Work collaboratively with the Yellowknife Gwich’in Society for use of office space, securing of material.
  • Organize GTC events as required

QUALIFICATIONS

  • Grade 12 diploma or equivalent.
  • Minimum one (1) year of experience in a receptionist, front desk, or administrative support role.
  • Strong verbal and written communication skills with professional telephone etiquette.
  • Proficiency in Microsoft Office (Word, Outlook, Excel) and general office equipment.
  • Demonstrated customer service skills with a friendly and welcoming demeanor.
  • Ability to manage multiple tasks, prioritize workload, and maintain attention to detail.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
